Head of Administration

Position Type: Full-Time / Senior Leadership

Role Summary

The Head of Administration & Estate Management will lead all office operations, infrastructure maintenance, property assets, corporate fleet logistics, travel desks, and high-profile guest hospitality. This role requires an operational strategist who honors the rich heritage of a deeply rooted brand while modernizing facility workflows and implementing efficient administrative practices.

Key Responsibilities

1. Building, Office Maintenance & Estate Management

· Infrastructure & Facilities: Oversee the comprehensive maintenance, upkeep, and civil works of the corporate office and legacy estate properties.

· Estate Management: Manage property lifecycles, real estate compliance, leasing agreements, structural audits, and relationship management with landlords or municipal authorities.

· Preventive Maintenance: Supervise critical building systems (HVAC, power backups, elevators, fire safety, and security systems) to guarantee zero downtime for a 24/7 media operation.

· Workspace Optimization: Lead office renovation projects, space allocation, and workplace safety compliance to maintain a modern, productive environment.

2. Vehicle & Fleet Management

· Fleet Operations: Direct the company's vehicle pool, managing daily dispatches, dedicated executive cars, and specialized utility vehicles used by media production crews.

· Maintenance & Compliance: Ensure timely servicing, vehicle fitness certifications, comprehensive insurance renewals, and strict adherence to local transport regulations.

· Driver Management: Roster, train, and manage a team of corporate drivers and transit vendors, enforcing protocols for punctuality, safety, and corporate etiquette.

· Fuel & Cost Control: Track fuel consumption, optimize route planning, and manage logistics costs through strict auditing.

3. Corporate Travel & High-Profile Logistics

· Travel Desk Operations: End-to-end management of the company’s corporate travel desk, establishing protocols for rapid-response domestic and international travel.

· Press & Crew Dispatch: Coordinate complex itineraries, flights, and local transit for executives, journalists, and production crews operating under tight newsroom deadlines.

4. Guest Relations & Accommodations

· VIP Hospitality: Manage top-tier arrangements for media personalities, board members, high-profile authors, and international delegates.

· Corporate Housing: Oversee corporate guest houses, long-term accommodations for visiting staff, and partnerships with premium hotel networks.

Profile Requirements

· Experience: 10 to 15 years of experience in corporate administration, facilities, and estate management, with at least 5 years in a senior leadership role. Experience within media, hospitality, or managing legacy corporate properties is highly preferred.

· Education: Bachelor’s degree in Business Administration, Facility Management, Hospitality, or a related field. Technical background in building management or real estate operations is a plus.

· Asset & Vendor Management: Strong negotiation skills with a proven track record of handling high-value annual maintenance contracts (AMCs) and service level agreements (SLAs).

· Operational Resilience: Ability to manage real estate emergencies, fleet bottlenecks, and changing newsroom priorities calmly and effectively.

· Modernization Mindset: Skill in migrating legacy physical assets and manual vehicle logs into modern facility management and fleet tracking software.
