Reports to: Head Administration

Key purpose of the job – Responsible for Facility Management & Administration activities at SKF Pune site for GCC (Global Capability Centre)
Profile of the job holder –
Bachelor / Masters in any stream
12 -15 years of experience in managing facility management & administration, Security in mid-size organization (2000-3500 employees)
Preferably worked in IT / ITES, Manufacturing organizations
Well-versed in facilities management best practices
Excellent verbal and written communication skills
Excellent organizational and leadership skills
Good analytical/critical thinking.
High degree of Integrity
Ability to take action to establish and maintain strong connections with people outside own work group.
Proactively confronting difficult issues; making valiant choices and taking bold action.
Candidate should mandatorily have experience of managing multi-location operations atleast 3-4 sites.
Key responsibilities –
Facility Management Functions: Oversee all facility management functions including housekeeping, transportation, front office operations, guest and visit management, and telecommunication services at the Pune site. Additionally, supervise and coordinate facility management operations at other sites through respective site administrators.
Security Arrangements: Ensure robust security arrangements at all sites to safeguard employees, visitors, and company assets. This includes coordinating with security personnel and implementing security protocols.
Supervision and Coordination: Supervise and coordinate with all facilities staff, including janitorial, maintenance, and administrative personnel. Manage relationships with external contractors and service providers to ensure high-quality service delivery.
Office Space Allocation: Allocate and manage office space to meet the needs of various departments and teams. Ensure efficient use of space and resources.
Service Contracts Management: Manage service contracts for all sites, including negotiating terms, monitoring performance, and ensuring compliance with contractual obligations.
Financial and Non-Financial Records: Maintain accurate financial and non-financial rec Facility Management Functions: Oversee all facility management functions including housekeeping, transportation, front office operations, guest and visit management, and telecommunication services at the Pune site. Additionally, supervise and coordinate facility management operations at other sites through respective site administrators.
Budget Preparation and Adherence: Prepare and adhere to budgets for all sites. Monitor expenditures and implement cost-saving measures without compromising service quality.
Project Management: Lead and manage new projects related to facility management, including site expansion, renovations, and the implementation of new FM services. Ensure projects are completed on time, within budget, and to the required standards.
Integration of FM Services: Ensure the smooth integration of all facility management services at all sites to provide a seamless and pleasant experience for employees. This includes coordinating with various departments and addressing any issues that arise.
Liaison with External Entities: Liaise with external service providers, government authorities, and regulatory bodies as required. Ensure compliance with all relevant laws and regulations.
ISO & other audits: Responsible for managing & facing various ISO & site audits & also internal audits for all related functions & sites.
Key interfaces -
