Export Documentation Manager (Pre & post shipment)

Location

Connaught Place, New Delhi

Working Days

6 Days a Week (Monday to Saturday)

Weekly Off

Sunday

Working Hours

10:00 AM to 6:00 PM (when not travelling)

Experience Required

Minimum 8 Years of Relevant Export Experience

Industry Preference

Metal Manufacturing (Aluminium) Industry.

Job Summary

We are seeking an experienced Export Documentation Manager to manage end-to-end

export documentation activities covering both pre-shipment and post-shipment

processes. The candidate will be responsible for preparing, reviewing, and coordinating

export documents, ensuring compliance with customs regulations, banking requirements,

and international trade norms while facilitating smooth shipment execution and timely

realization of export proceeds.

Key Responsibilities A. Pre-Shipment Documentation

a-Review and process the following documents;

b-Prepare and verify:

Letter of Credit drafts approval to export sales Team

Keeping record of L/C party wise, To prepare a detailed Excel Sheet for L/C

Overdrawn, To avoid LSD / Expiry missed out.

Keeping record of Advance Payment Party wise and executing its adjustment at

the time of raising commercial invoice in foreign currency.

Coordination with Dispatch team for finalize the Container Size for

particular shipment and arrange the CRO copy from FF/ Liner.

Coordination Logistics Team Inalco, for Empty Container Lifting and placement

at factory for stuffing.

To send dispatch intimation to FF & Concern CHA timely.

To Prepare Commercial Invoice

To Prepare Packing List

To Prepare VGM

To Prepare Customs Annexure

To Prepare Raw Material Details – Licence Particulars

To maintain EPCG License debiting sheet against export made (Shipment Wise)

To maintain Advance License debiting sheet against export made (Shipment

Wise)

To Give Approval on export SB checklist to CHA

To arrange Dispatch Intimation to Buyers

To Prepare Insurance Certificates / Correction as per LC requirement.

c- Coordinate with production, logistics, freight forwarders, and customs brokers to

ensure timely shipment planning.

d- Ensure compliance with export regulations, customs requirements, and customerspecific

documentation needs.

B. Post-Shipment Documentation

A- To Prepare post-shipment documents including:

SLI to FF & LINER

Approve draft Bill of Lading (B/L) as per LC requirement.

To approve draft Certificate of Origin / CEPA

To Approve the MTC

To approve the Fumigation Certificate

B- Coordinate with banks for negotiation of export documents under LC, DP, DA, and

collection terms.

C- Follow up on:

To Generate Bank Realization Certificate (BRC/e-BRC)

Export proceeds realization

To maintain and redeem the Rodtep amount for further utilization in import

of raw material duty free.

Shipping bill closure and reconciliation

D- Liaise with customs authorities, freight forwarders, and banks to resolve

documentation discrepancies.

E- Maintain records of all export transactions and ensure audit readiness.

F- Support claims related to export incentives, duty drawbacks, and other government

schemes.

Compliance & Regulatory Responsibilities

A-Ensure adherence to:

Foreign Trade Policy (FTP)

Customs regulations

FEMA guidelines

RBI regulations related to export proceeds

DGFT requirements

b- Keep updated on changes in export/import regulations and implement process improvements.

c- Ensure accurate record keeping and statutory compliance.

Qualifications

A- Bachelor's degree in Commerce, Business Administration, International Business, Logistics, or related field.

B- MBA / PG Diploma in International Business or Foreign Trade preferred.

C- Certification in Export-Import Management is an added advantage.

Experience

A- 8–15 years of experience in export documentation and international trade operations.

B- Hands-on experience in handling:

Pre-shipment and post-shipment documentation

LC documentation and banking procedures

Customs and DGFT compliance

Coordination with freight forwarders and shipping lines

C- Experience with ERP systems such as SAP, Oracle, or similar platforms.

Pay: ₹60,000.00 - ₹100,000.00 per month
