Job Description: Logistics Supervisor – Import & Export

Industry: Medical Device Manufacturing & Tradeing
Location: Remote
Employment Type: Full-time
Reporting To: Operations Head

Key Responsibilities

  • Handle end-to-end import, export and logistics activities for medical devices, components, raw materials and finished products.
  • Prepare, verify and maintain all import and export documentation.
  • Coordinate with customs brokers/CHAs, freight forwarders, shipping lines, airlines, transporters, suppliers, customers and banks.
  • Track every shipment from pickup until customs clearance and final delivery.
  • Ensure timely customs clearance and prevent unnecessary demurrage, detention, storage and late-documentation charges.
  • Coordinate domestic transportation, factory dispatches, port movements and warehouse deliveries.
  • Maintain shipment-wise records, expense statements and complete audit trails.
  • Coordinate with Quality Assurance and Regulatory Affairs teams for medical-device shipment compliance.

  • Country-specific import permits and product-registration documents

Regulatory Knowledge Required

  • Indian Customs procedures and applicable customs regulations
  • DGFT Foreign Trade Policy
  • IEC and ITC-HS import/export classification
  • Customs valuation, applicable duties, IGST and exemption notifications
  • Restricted, prohibited and freely importable/exportable goods
  • GST requirements for exports, LUT and zero-rated supplies
  • FEMA and RBI requirements for international payments
  • Incoterms 2020, including EXW, FOB, CIF, CFR, FCA, DDP and DAP
  • International freight, insurance and customs-clearance procedures
  • Free Trade Agreements and preferential duty benefits
  • CDSCO requirements and Medical Devices Rules, 2017
  • Medical-device import licences and permissions, including MD-15 and MD-17 where applicable
  • Medical-device labelling, batch, serial number, shelf-life, storage and traceability requirements
  • Destination-country regulations for exported medical devices
  • Cold-chain and temperature-controlled shipment requirements, where applicable

Efficiency Improvement and Cost-Reduction Responsibilities

  • Obtain and compare quotations from multiple freight forwarders and transporters.
  • Negotiate freight rates, customs-clearance charges, transportation rates and annual contracts.
  • Select the most cost-effective shipping mode: air, sea, road, courier or multimodal transport.
  • Consolidate shipments wherever possible to reduce freight cost.
  • Improve container, pallet and vehicle utilisation.
  • Optimise packaging to reduce volumetric weight without compromising product safety.
  • Review Incoterms and recommend commercially beneficial shipment terms.
  • Reduce emergency air shipments through better material and dispatch planning.
  • Monitor port dwell time and prevent demurrage, detention and warehouse charges.
  • Use applicable Free Trade Agreements and duty benefits after verification.
  • Track freight cost per shipment, kilogram, product and customer.
  • Analyse planned versus actual logistics costs and report monthly savings.
  • Develop standard operating procedures, checklists and document-control systems.
  • Evaluate logistics vendors based on cost, service quality, transit time and claim history.
  • Investigate delayed, damaged or short-delivered shipments and implement corrective actions.

Qualification and Experience

  • Graduate in Commerce, Business Administration, Logistics, Supply Chain or a related field.
  • Diploma or certification in EXIM, customs clearance or supply-chain management is preferred.
  • Approximately 3–6 years of relevant logistics and import-export experience.
  • Experience in medical devices, pharmaceuticals, healthcare products or regulated manufacturing is strongly preferred.
  • Practical experience working with customs brokers, freight forwarders and government portals.
  • Knowledge of ERPNext or another ERP system and strong MS Excel skills.
  • Good written and verbal communication skills in English and Hindi.
  • Willingness to visit ports, airports, customs offices and transporter locations when required.
