Job Overview:

1. Office and Administrative Management

  • Supervise and manage the administrative office team (receptionists, secretaries, clerks).
  • Maintain organized filing systems for student and staff records.
  • Manage school calendars, scheduling, and general communication.
  • Oversee procurement and inventory of office and school supplies.

2. Human Resources Support

  • Support the recruitment, onboarding, and exit processes for school staff.
  • Maintain up-to-date employee records and ensure HR policies are followed.
  • Monitor staff attendance, leaves, and prepare related reports for management.

3. Financial and Budgetary Support

  • Assist in preparing and monitoring the school’s administrative budget.
  • Liaise with the finance department for billing, payroll, and petty cash reimbursements.
  • Ensure proper documentation for all financial transactions.

4. Facility and Asset Management

  • Oversee maintenance and repairs of school buildings and facilities.
  • Coordinate with vendors and service providers for school operations (security, cleaning, IT, etc.).
  • Ensure health and safety protocols are in place and followed.

5. Communication and Liaison

  • Serve as a point of contact between the school leadership, staff, parents, and external stakeholders.
  • Draft official letters, notices, and newsletters as needed.
  • Ensure smooth handling of parent queries and complaints in coordination with relevant departments.

6. Compliance and Record Keeping

  • Ensure the school complies with local education regulations and accreditation standards.
  • Maintain accurate records for audits and inspections.
  • Coordinate the collection and reporting of school data/statistics.

Qualifications and Skills:

  • Bachelor’s degree in Business Administration, Education Management, or related field.
  • Minimum 3–5 years of experience in a school or office administration role.
  • Strong organizational and leadership skills.
  • Excellent verbal and written communication abilities.
  • Proficient in office software (Microsoft Office, Google Workspace, etc.).
  • Familiarity with school management systems (e.g., PowerSchool, SIMS, or equivalent) is a plus.
  • Ability to handle confidential information with discretion.
