A Store Incharge in a manufacturing industry manages the end-to-day material lifecycle. Their primary responsibilities include receiving, storing, and issuing Raw Materials (RM), Packaging Materials (PM), and Consumables, alongside tracking stock levels to prevent production delays and ensure complete inventory compliance.
Here is a breakdown of their specific roles and responsibilities:
1. Material Receipt and Quality Inspection

  • Verification: Receive inbound shipments and verify delivered quantities, weights, and part numbers against approved Purchase Orders (PO) and Delivery Challans.
  • Quality Hold: Isolate received items and coordinate with the Quality Assurance (QA) team for inspection before officially taking materials into system stock.
  • Discrepancy Reporting: Log damaged, defective, or short-supplied items and report them to the procurement department.

2. Inventory and Warehouse Management

  • Stock Optimization: Maintain maximum and minimum stock levels to support uninterrupted production without overstocking.
  • Storage Layout: Implement logical storage systems (e.g., ABC analysis) to optimize warehouse space and make high-demand items easily accessible.
  • Stock Rotation: Enforce strict First-In, First-Out (FIFO) or First-Expired, First-Out (FEFO) protocols, particularly for materials with shelf lives.
  • Auditing: Conduct regular physical stock counts and reconcile them against system (ERP) records to maintain 100% inventory accuracy. . Material Issuance and Production Support
  • Requisition Fulfillment: Issue Raw Materials, consumables, and spare parts to the production floor based on authorized indents and production schedules.
  • Wastage Control: Monitor the return of surplus materials, leftover stock, and defective items from the shop floor back to the store.
  • Kitting: Organize and bundle specific parts needed for assembly or production batches to streamline the manufacturing process.

4. Documentation and Record Keeping

  • System Updates: Promptly record all inward, outward, and returned transactions in Bin Cards, Kardex cards, or the company’s inventory software.
  • Reporting: Generate daily, weekly, and monthly reports detailing inventory status, slow-moving items, and reorder alerts.
  • Invoice Processing: Verify supplier delivery documents and forward them to the finance or accounts department to process vendor payments. [3, 4]

5. Safety, Compliance, and Security

  • Access Control: Restrict unauthorized entry into the storage zones to prevent theft, pilferage, or damage to critical components.
  • Hazard Management: Enforce safety and environmental protocols, particularly for storing hazardous chemicals, flammables, or heavy machinery parts.
  • Equipment Maintenance: Ensure all material-handling equipment (e.g., forklifts, pallet jacks, cranes) are regularly inspected and in safe working condition.
