Full job description

  • Coordinate the day-to-day administrative functioning of the medical college and teaching hospital.
  • Coordinate between academic, clinical, administrative, and support departments.
  • Monitor institutional services and ensure timely resolution of administrative issues.
  • Maintain effective communication between management and various departments.
  • Prepare administrative reports, statements, notices, and correspondence as required.
  • Assist senior management in planning, implementing, and monitoring institutional activities.

Medical College Administration

  • Coordinate administrative activities relating to undergraduate, postgraduate, and other academic programmes.
  • Support the Dean and academic leadership in implementing institutional decisions.
  • Coordinate meetings of committees and maintain minutes and records.
  • Facilitate communication with the affiliated university and other statutory/regulatory bodies.
  • Coordinate documentation required for inspections, assessments, renewals, and regulatory submissions.
  • Maintain institutional records relating to faculty, departments, infrastructure, laboratories, teaching facilities, and other requirements.
  • Monitor attendance and administrative compliance of faculty, non-teaching staff, and other employees in coordination with HR.

Infrastructure and Facilities Management

  • Monitor the availability and upkeep of college, hospital, hostel, administrative, and common facilities.
  • Coordinate with engineering, maintenance, housekeeping, security, electrical, plumbing, IT, and other support teams.
  • Report infrastructure deficiencies and follow up on corrective measures.
  • Assist in planning maintenance schedules and facility-improvement projects.
  • Coordinate arrangements for meetings, examinations, inspections, conferences, and institutional events.

Procurement and Stores Coordination

  • Coordinate administrative requirements relating to procurement of equipment, consumables, stationery, furniture, and other materials.
  • Liaise with purchase, stores, finance, and user departments to ensure timely availability of required items.
  • Monitor administrative inventory and stock records.
  • Assist in vendor coordination and follow-up on supplies and services.
  • Ensure that procurement-related documentation is properly maintained in accordance with institutional procedures.

Student Administration

  • Coordinate administrative matters relating to students, including admissions support, identity cards, attendance-related records, hostels, transportation, facilities, and general grievances.
  • Coordinate with academic departments and student services for smooth student administration.
  • Facilitate arrangements for examinations, university activities, orientation programmes, and institutional events.
  • Ensure timely communication of administrative notices and instructions to students.

Documentation, Records and Communication

  • Maintain proper administrative files, registers, reports, agreements, licences, correspondence, and institutional records.
  • Draft official letters, circulars, notices, memoranda, and administrative communications.
  • Maintain confidentiality of institutional, employee, student, and patient-related information.
  • Ensure proper document control and timely retrieval of records.
  • Prepare periodic administrative performance reports for senior management.

Quality, Safety and Risk Management

  • Assist in implementation of institutional quality-management initiatives.
  • Coordinate internal audits, inspections, and corrective-action follow-up.
  • Support patient safety, workplace safety, emergency preparedness, and disaster-management initiatives.
  • Coordinate with relevant committees and departments on risk identification and mitigation.
  • Promote adherence to institutional policies and standard operating procedures.
