Job Description - Regional Administrative Assistant

• Supervision of Civil & interior work of new branch office in region.
• Allotment & Keeping a record of branch office seat allocation and debit the expenses to JSW Group companies.
• Coordination & renewal of contract / maintenance contract with third party vendors for Housekeeping manpower, security & building maintenance etc.
• Coordination with Regional & branch office heads for day to day operational administrative activities & Challenges.
• Coordinating with branch finance person to get the PR/PO done.
• Coordination and keeping a track of branch offices lease / leave & license agreement for renewal.
• Cost Control – Ideation, implementation, cost analysis and Management reporting of the measures taken and actual impact.
• Taking demands from the region for Capex & Opex items, consolidating the demands, raising the opex in totality (inviting quotes, making comparative matrix, calculation and executive summary, justification summary) for sending it to Corporate office for final approval
• Processing of monthly bills related to administration operational expenses of branch offices like office rent, Security & housekeeping bills, Electricity bill, PRI/Telephone bill etc.
• Repair and maintenance of branch offices.
• Renewal of Annual Maintenance Contracts like Air Condition, EPBX, CCTV, Fire Alar, Fire Extinguishers, Vending machine, Pest Control & UPS etc of across region offices.
• Keeping a record & inform HO for approval if any there is a Salary revision of all the outsource manpower based on the Govt. DA revision is due. Fixing all the additional benefits as per the statutes and making all the manpower agencies accountable adherence.
• Liaison with the labour department, local administration, civil bodies, fire department etc for smooth functioning of the establishments.
• Formulating comprehensive Emergency Response Plan/ Evacuation plan in case of any Fire or undue incident. Training of Security staff and all employees on firefighting equipment’s.
• Formulating the Policy for physical security of premises, equipment’s and employees, Visitor Entry, Medical Emergency, Fire etc. policy amendment, updation and creating awareness amongst employee
• Regular Safety audits of all the company establishments
• Installing and regular review of automated access control equipment and CCTV cameras for controlling entry/exit of employees and visitors.
• Supervision of front office, vendor payment and account reconciliation, office administration and day to day troubleshooting (Maintenance issues).
• Planning & implementing the preventive, predictive, & condition base maintenance schedules for improving the overall and safety of plant.
• Ensure the upkeepment of facility in safety & security point of view.
• Energy management & cost management of facility.
• Purchase of electrical, mechanical items, and do the vender dealing, making of PO.
• Tracking daily breakdown implementing preventive maintenance programs to improve the efficiency of the system or the equipment under going maintenance.
• Minimizing performance bottlenecks for achieving high productivity with maximization of men, material, & machine.
• Managing of soft services like pest control & housekeeping.
• Managing of surveillance services like manned Security, CCTV & Access control system.

Qualification & work experience

• Graduate / Post Graduate in any stream
• 6-8 years in administration & facilities
• Good Hands in Excel & Computer

Pay: ₹40,000.00 - ₹45,000.00 per month
