Job Summary

The Store Incharge is responsible for managing the overall operations of the hospital store, including procurement coordination, inventory management, stock maintenance, record keeping, and timely distribution of medical and non-medical supplies. The role ensures uninterrupted availability of essential hospital materials while maintaining compliance with hospital policies and cost control measures.

Key Responsibilities

1. Inventory Management

  • Maintain accurate stock records of all medical and non-medical supplies.
  • Monitor stock levels and ensure timely replenishment.
  • Conduct regular physical stock verification and reconciliation.
  • Maintain minimum and maximum stock levels for all essential items.

2. Material Receiving & Inspection

  • Receive incoming materials and verify quantity and quality against purchase orders.
  • Inspect supplied goods for damages, expiry dates, and discrepancies.
  • Coordinate with procurement/vendors for replacement of defective or incorrect supplies.

3. Stock Issuance & Distribution

  • Issue materials to various departments such as OT, ICU, Pharmacy, Laboratory, Wards, and Administration as per requisition.
  • Ensure proper documentation of all issued and received items.
  • Maintain daily issue registers and digital inventory records.

4. Documentation & Record Keeping

  • Maintain stock registers, inward/outward registers, purchase records, and inventory reports.
  • Prepare periodic inventory status reports for management review.
  • Ensure all store-related documentation is updated and properly filed.

5. Vendor & Purchase Coordination

  • Coordinate with the purchase department for procurement planning.
  • Follow up with vendors regarding deliveries and pending orders.
  • Assist in comparing quotations and maintaining vendor records.

6. Compliance & Store Maintenance

  • Ensure proper storage conditions for medical consumables and equipment.
  • Monitor expiry dates and facilitate timely disposal/replacement of expired items.
  • Maintain cleanliness, organization, and safety standards within the store.

7. Cost Control

  • Prevent overstocking and understocking.
  • Minimize wastage, pilferage, and inventory losses.
  • Suggest cost-effective inventory practices.

Required Qualifications

  • Bachelor’s Degree / Diploma in Store Management, Supply Chain Management, Commerce, or related field.
  • Certification in Inventory/Store Management preferred.

Experience

  • Minimum 2–5 years of experience in store/inventory management, preferably in a hospital or healthcare setup.

Required Skills

  • Knowledge of hospital inventory and medical consumables.
  • Proficiency in MS Excel and inventory management software.
  • Strong organizational and record-keeping skills.
  • Good communication and coordination abilities.
  • Attention to detail and problem-solving skills.
  • Ability to work under pressure.
