Full job description

▸ On receipt of a confirmed booking, immediately initiate hotel booking, vehicle deployment, and guide assignment — within 24 hours

▸ Maintain the live master booking sheet in Google Sheets — updated in real time across all active bookings by date, hotel, vehicle, guide, and payment status

▸ Prepare a complete Tour File for every group — hotel confirmations, vehicle schedule, guide briefing, safari bookings, entry tickets, and emergency contacts — handed to the Tour Manager 48 hours before departure minimum

▸ Send arrival lists to every hotel for the next 7 days, every Monday morning — and follow up for written confirmation within 24 hours of each request

▸ Monitor every live tour via twice-daily WhatsApp contact with the tour manager — morning plan confirmation and evening completion check

▸ Manage the ILP application process for all Arunachal Pradesh programs — filed exactly 21 days before travel, tracked to confirmed receipt

▸ Log every complaint or deviation during a live tour immediately, and inform the Head of Operations within 30 minutes of identification

▸ Prepare the client-facing Journey File for every FIT booking — a formatted PDF with day-by-day details, hotel addresses, vehicle details, and emergency contacts

▸ Minimum 2–3 years in travel operations — hotel bookings, vehicle coordination, tour documentation, or DMC back-office

▸ Prior experience with Northeast India travel circuits is a strong advantage

▸ Advanced proficiency in Google Sheets — must manage complex multi-booking tracking sheets without training

▸ Fluent in Assamese, Hindi, and English — all three languages are used daily in this role

▸ Fast, accurate, professional WhatsApp communication — this is the primary coordination tool for 80% of operational tasks

▸ Graduate in any discipline — Diploma or Degree in Travel and Tourism preferred

▸ Willing to work extended hours during peak season (October–December) without complaint.

▸ You have worked in a hotel reservations or front office role and want to transition to DMC operations — your hotel-side experience is directly applicable

▸ You have personally handled Arunachal Pradesh ILP facilitation before

▸ You are calm when things go wrong — because in this role, things will occasionally go wrong, and your response quality matters more than the absence of problems
