Key Responsibilities

• Coordinate end-to-end export shipments from order confirmation to final delivery.
• Coordinate with sales, production, warehouse, quality, finance, and logistics teams for shipment planning.
• Prepare and verify export documents such as:
• Commercial Invoice
• Packing List
• Shipping Bill
• Bill of Lading / Sea Waybill
• Certificate of Origin (COO)
• Fumigation Certificate
• Insurance documents
• ECTA / Preferential Certificate, where applicable
• Other country-specific export certificates and documents
• Coordinate with freight forwarders and shipping lines for freight quotations, booking, vessel schedules, container availability, and shipment status.
• Arrange and coordinate container booking, transportation, stuffing, and dispatch from factory/ICD/warehouse.
• Monitor ETD, ETA, transshipment, vessel delays, and container movement and communicate updates to relevant stakeholders.
• Coordinate with customs brokers/CHA for shipping bill filing, customs clearance, examination, and Let Export Order (LEO).
• Check export documentation for accuracy of HS Code, product description, quantity, weight, FOB/CIF/DAP value, consignee, notify party, and port details.
• Coordinate with banks for export documentation submission, e-BRC, payment realization, and export closure requirements.
• Handle documentation related to LUT, GST, RoDTEP, export incentives, and other statutory requirements, as applicable.
• Follow up with customers regarding shipping instructions, delivery requirements, documentation requirements, and destination clearance requirements.
• Maintain shipment trackers and update ERP/system records with shipment and documentation details.
• Coordinate with transporters for vehicle placement, loading, dispatch, and delivery.
• Verify freight and logistics invoices and coordinate with the finance team for payment processing.
• Maintain proper records of shipping documents, customer communications, quotations, freight rates, and shipment closures.
• Handle shipment-related issues such as delays, documentation discrepancies, container availability, cargo damage, and customer queries.
• Ensure all shipments are executed within the planned timeline and agreed commercial terms.

Coordination & Communication

• Coordinate professionally with customers, freight forwarders, shipping lines, CHA/customs agents, transporters, banks, and internal teams.
• Negotiate and obtain competitive freight and logistics rates.
• Follow up regularly to ensure timely completion of shipment milestones.
• Provide accurate and timely shipment updates to management and customers.

Required Skills

• Knowledge of Export Documentation & International Logistics
• Understanding of Incoterms – FOB, CIF, CFR, DAP, DDP, etc.
• Knowledge of shipping line and freight-forwarding processes
• Good understanding of customs clearance and export procedures
• Good MS Excel and ERP skills
• Strong follow-up and coordination skills
• Good written and verbal communication
• Attention to detail and documentation accuracy
• Negotiation and problem-solving skills
• Ability to manage multiple shipments simultaneously

Preferred Experience

1–3 years of experience in Export Documentation, International Logistics, Freight Forwarding, Supply Chain, or a related field.
