Executive Assistant to Director – Alchemy Art Studio (Export Firm)
Location: Sector 12B, Dwarka, New Delhi
Work Hours: 9:00 AM – 6:30 PM (Monday to Friday)

About the Role
We are looking for a smart, organized, and proactive Executive Assistant to the Director who can efficiently manage day-to-day operations, administrative coordination, scheduling, communication, and business support activities.
The ideal candidate should possess excellent multitasking abilities and should be comfortable handling responsibilities related to administration, HR coordination, website management, designing support, reporting, and operational follow-ups while maintaining professionalism and confidentiality.
Key Responsibilities
- Manage the Director’s calendar, meetings, appointments, and daily schedules efficiently.
- Coordinate domestic and international travel bookings, hotel stays, itineraries, and logistics.
- Handle day-to-day administrative and HR-related tasks including employee coordination, attendance records, onboarding support, and documentation.
- Manage office administration including vendor coordination, procurement, office supplies, and operational follow-ups.
- Handle professional emails, calls, meeting scheduling, and client/vendor communication on behalf of management.
- Prepare presentations, reports, MOMs (Minutes of Meeting), trackers, and operational summaries.
- Assist in maintaining and updating the company website, product uploads, and basic backend coordination.
- Support the team with basic designing tasks such as presentations, social media creatives, catalogs, and marketing materials using Canva or similar tools.
- Maintain records of daily office expenses, reimbursements, petty cash, and operational spending.
- Coordinate with different departments to ensure smooth workflow and timely completion of tasks.
- Maintain confidentiality of sensitive business information and internal communication.
- Act as a bridge between the Director and internal/external stakeholders for seamless coordination.
- Ensure timely follow-ups on pending tasks, meetings, vendor commitments, and operational activities.
Requirements
- Bachelor’s degree in Business Administration, Management, HR, or related field.
- 1–3 years of experience in a similar role; freshers with exceptional skills may also apply.
- Strong organizational, multitasking, and time-management abilities.
- Proficiency in MS Office, Google Workspace, Excel, and presentation tools.
- Basic knowledge of Canva, designing tools, and website handling preferred.
- Excellent verbal and written communication skills.
- Professional, reliable, punctual, and detail-oriented personality.
- Ability to maintain confidentiality and handle responsibilities independently.
- Strong follow-up and coordination skills with a proactive approach toward problem-solving.
- Well-organized, disciplined, and able to multitask effectively
- Trustworthy, proactive, and solution-oriented mindset
Salary: ₹25,000 – ₹40,000 per month (depending on experience)
