Job Summary:
We are looking for a highly professional, proactive, and detail-oriented Executive Assistant to support the CEO in managing strategic and operational responsibilities. This role requires exceptional organizational ability, strong communication skills, and the capability to handle confidential matters with discretion and professionalism.
The ideal candidate is someone who thrives in a fast-paced environment, anticipates needs before they arise, and ensures seamless coordination across executive functions.
Key Responsibilities:
Executive & Administrative Support:
- Manage the CEO’s calendar, schedule meetings, and coordinate appointments efficiently
- Handle confidential documents, files, and executive communications
- Draft, review, and prepare reports, presentations, and official correspondence
- Organize and maintain structured records and documentation
- Screen emails, calls, and requests with professional judgment
Meeting & Coordination:
- Arrange internal and external meetings with complete logistics management
- Prepare meeting agendas, materials, and presentations
- Record meeting minutes and track follow-ups and action items
- Ensure timely communication and execution of decisions
Travel & Schedule Management:
- Plan domestic and international travel itineraries
- Coordinate flights, accommodations, and transportation
- Prepare travel documents and expense reports
- Manage last-minute travel changes efficiently
Communication & Stakeholder Management:
- Act as a communication bridge between CEO and internal/external stakeholders
- Manage executive-level communications professionally
- Ensure smooth information flow across departments
- Handle priority communications with confidentiality
Project & Task Management:
- Assist in planning and executing strategic initiatives
- Track project timelines and deliverables
- Coordinate with teams to ensure deadlines are met
- Provide status updates and executive summaries
Research & Business Support:
- Conduct research on business, market, and operational topics
- Prepare analytical reports for decision-making
- Gather and organize relevant business data
- Support the CEO in strategic planning activities
Event & Executive Planning:
- Organize executive meetings, conferences, and off-site events
- Coordinate venue, logistics, and guest management
- Assist in corporate event execution
- Handle executive hospitality arrangements
Confidentiality & Professionalism:
- Handle highly sensitive information with strict confidentiality
- Maintain professional conduct at all times
- Exercise discretion in all executive matters
Additional Support:
- Assist with CEO’s priority tasks when required
- Support the executive leadership team coordination
- Manage urgent and ad-hoc responsibilities
Qualifications:
- Bachelor’s degree in Business Administration or related field
- Proven experience as Executive Assistant / Personal Assistant / Executive Coordinator
- Excellent verbal and written communication skills
- Strong organizational and multitasking abilities
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Ability to work independently with minimal supervision
- Strong problem-solving and decision-making skills
- High attention to detail and professionalism
- Ability to handle confidential information
- Flexibility to work beyond standard hours when required
Preferred Skills:
- Experience supporting senior executives or founders
- Familiarity with project management tools
- Strong coordination and follow-up skills
- Ability to work in fast-paced startup environment
- Professional email drafting and documentation skills
