Steps To Writing A Resignation Letter For Personal Reasons
Use these ten steps when writing your resignation letter for personal reasons:
1. Include your name and address
Start your resignation letter by providing your name and address. If you want, you can even share your email address and phone number.
Example:
Sujit Ray
234 Whitefield Colony,
Bengaluru 550078
2. Include the date of resignation
In the next line, mention the date in [Month Date, Year] format. It is the date on which you intend to send the letter to the HR department and your manager. This date serves as your date of resignation.
3. Include the employer's details
You address the letter either to your manager or to the HR executive. So, it is important to mention the name of the person you are sending your resignation letter to. You can also include your company's name and its full address.
Example:
MNC Leather Enterprise
5th Avenue Park Street
Hyderabad 456090
4. Include a salutation
Start your letter with a salutation or a formal greeting. You should include the name of the recipient. You can use words like Hello [Name] or Dear [Name]. Some examples of formal titles are Ms, Mr or Mrs.
Example:
Mr Devashish or Ms Kajal
5. Write a clear statement expressing your intention to resign
It is important to clearly state that you are writing the letter to state your intent to resign from your current job title. As you are resigning for personal reasons, it is not necessary to explain the reason for leaving the job. You can simply write, “I am resigning for personal reasons which I do not wish to disclose.” However, if you want you can mention your reason for leaving, without providing too much information, for instance, “I am resigning due to an illness that requires all my time.”
Example: Please consider this letter as my formal resignation letter from the post of Mathematics Teacher from Vivekananda School. I am resigning due to an unprecedented family illness that requires immediate attention.
6. Mention the last day of employment
Many positions may require you to complete a one-month notice period. The notice period may vary depending on your job role and the organisation's policy. So, it is best to go through the organisation's policy and reread your job offer letter to know how much notice period you have to serve. Make sure that you mention the last day of employment either in the first or second line of your letter.
Example: My last working day would be Wednesday, March 10, one month from today.

7. Include a statement of gratitude
Irrespective of how you felt working with your manager and organisation, it is always good to end things on a positive note. So, include one or two sentences expressing your gratitude for the opportunities and growth you received throughout your employment.
Example: I would like to thank the entire team for all the great opportunities I have had while working for this team. I enjoyed working here and I cherish the time I spent.
8. Offer help in the training or transition process
When resigning for personal reasons, this may not always be a feasible option. But it is always good to offer assistance in training the new employee or other team members on how to complete different tasks. This gesture helps your manager understand that you are leaving on a positive note and helps in strengthening your professional relationship.
Example: I am happy to provide training to my replacement and document my current processes for making the transition as smooth as possible.
9. Include your contact information
You can also include your personal email address and phone number to remain in touch with the manager after leaving the organisation. Your manager may want to contact you for queries related to some previous work or future growth opportunities.
Example: You can contact me at [mobile number] and email me anytime at [personal email address].
10. Include a professional sign-off and your name
Finish your letter by adding a professional sign-off like “Sincerely”, “Thank You”, “With Regards” or “Yours Truly”. After the sign-off, add your full name. If you are personally handing over the letter, leave space above your name for your full signature. If you are emailing your resignation letter, there is no need to sign the letter.
Example:
With Regards
[Signature for hard copy letter]
Reyansh Kwatra
