The differences between a CV and a resume

The major difference between a CV and a resume is their purpose, length and layout. A CV is a more descriptive document about your detailed work history, whereas a resume is often a summary of your skills and experience. The preferred length of a resume is usually one page. However, it is more acceptable to have multiple pages in a CV.

Unlike a resume, in which you can tailor information to the job posting, a CV is a fixed document that can be used for any job application. Similarly, the structure of a CV is also resistant to change. CVs are expected to follow a chronological order, beginning with educational qualifications followed by work experience. On the contrary, a resume has a more flexible structure that you can tailor to suit your purpose.

In India, the terms resume and CV are used interchangeably. Most employers will accept either format. While browsing through job advertisements, you may notice that private companies will use the term resume, while government jobs may use the term CV. If you are still unsure, contact the hiring manager to clarify their requirements.

What to include in a CV template

Here is a list of the most important components that should be included in a CV template:

1. Photo

A picture is not mandatory but encouraged. The photo you use should be a professional, passport-sized picture of your face. It is good practice to plan a photo for your CV. In it, you should be dressed in formal work attire and use a crisp blue or white background. Make sure your hair is neat and not covering your face.

If you feel a photo would distract from your CV, feel free not to include one. However, attaching a face to the name can help leave a memorable impression.

2. Personal information

Your CV should include your contact details, such as your name, email address, home address and phone number, so that a recruiter can reach you with ease. As opposed to some western countries, in India, it is more acceptable to add information about your age and gender as it helps recruiters build a better mental picture of you. However, if you feel uncomfortable revealing too many personal details, feel free to exclude them from your CV.

At the end of your CV, remember to put a self-declaration and signature. Keep your declaration short and simple, for example, "All the information stated above is true to the best of my knowledge."

3. Personal summary

A personal summary or a career objective is a brief description of your key skills and accomplishments that make you the best candidate for the role. In this section, you are essentially answering the common interview question, "why should we hire you?"

Make sure your personal summary is no longer than three sentences. This is a great place to explain your career ambition too. Share with the recruiter why you love your profession or why you want to change jobs. This will help them determine how they can support you as an employee in their workplace.

4. Work experience

Your work experience should be structured in reverse-chronological order. This means your most recent job position will be at the top, followed by the previous positions you have held. Include the start dates and end dates of each position, as well as the company name and their location.

Use bullet points to state your key responsibilities and achievements. Back up your points with data and numbers as they appear more impressive and authentic.

5. Education

Just like your work experience section, your education section should be presented with your most recent certification at the top. State the name of the institution, the duration of your course and your academic achievements.

6. Optional sections

Here are three optional sections you may want to add to your CV to enhance it further:

  • Skills: Potential employers will recognise your soft skills when you describe your responsibilities and accomplishments in the work experience section of your CV. A standalone skills section is ideal if you want to bring attention to any technical skills, such as software knowledge, that could benefit your job search.

  • Volunteer experience: Recent graduates with little to no work experience should share any volunteer roles they have held in the past. Socially responsible candidates are highly attractive to hiring managers as they signify valuable characteristics, such as integrity and motivation.

  • Languages: India is a diverse country with people from different regions speaking different dialects. List down any languages you are competent in and share your level of proficiency.
