In-Person Event Check-In Tool

Overview

The check-in tool helps you manage candidates during in-person or Bring Your Own Platform (Bring Your Own Platform) hiring events. It lets you check in attendees, track their status, view all metrics and get real-time updates throughout the event.

This tool is for employers and event hosts who want an easy way to organise candidate information. With the tool, you can check who has arrived, applied or finished the interview. The check-in tool helps make the hiring process faster and more organised.

What you need to know

Access requirements

To use the check-in tool, you need an Indeed employer account.You can open the tool from:

  • Your Hiring Events dashboard, or

  • The event prep email for your in-person or Bring Your Own Platform event

You can also share the check-in tool link with teammates who have an Indeed account. This lets them view and update candidate information.

Candidate information

The tool displays all candidates who RSVP to your event in real time.You can view each candidate’s:

  • Name

  • Desired role

  • Email

  • Phone number

If a candidate has a public resume on Indeed:

  • You can view and download it as a PDF by clicking the blue icon.

  • Resumes stay available for 28 days, to protect jobseekers who update their information.

You can search by name and update each candidate’s status, such as marking them as ‘checked in’.

Limitations

  • Resumes disappear after 28 days.

  • The tool only shows candidates who have RSVPed or checked in.

  • Walk-in candidates appear under the Source column as ‘Walk-in’.

Using the tool

Step 1: View and manage candidate data

  1. Open your Hiring Events dashboard or the event prep email.

  2. Click the 3 dots next to your event and select Access check-In tool.

  3. View all RSVPed candidates in real time.

  4. Use the Status column to update each person’s progress.

Step 2: Export the candidate list

  1. Click the Actions drop-down menu on the right side of the screen.

  2. Select Export candidate list to download your list.

  3. To include more details, click Add column before exporting.

Your custom columns will appear in the downloaded CSV file.

Step 3: Create and use a QR code for check-in

  1. From the Actions menu, select Get QR code for check-in.

  2. Print or display the QR code on a screen so candidates can scan it when they arrive.

  3. Candidates enter their phone number on their mobile check-in page.

  4. Once complete, their status updates automatically in the check-in tool.

Walk-in candidates will appear with ‘Walk-in’ listed under the Source column.
