Sharing Candidate Information Using Smart Sourcing

If you have a Professional Smart Sourcing plan, you can work with your team. You do this by sharing Projects in your Indeed account. Projects help you keep candidates organised by job title or location.

You can invite teammates to look at resumes, activity and status updates. This helps your team work better and makes hiring easier. Teammates do not need a subscription to see this information.

This article is for employers and recruiters using Indeed's Smart Sourcing tool who want to collaborate on hiring with their team.

Who can access shared projects?

Professional plan users

  • Can make and share projects

  • Can invite teammates to work together

  • Can find candidates with you in the same project

Standard plan users

  • Can only find candidates on their own

  • Cannot work with others in shared projects

  • To join a project, they must get a Professional plan or be unassigned from their Standard plan

What information is shared?

When you share a project, teammates can see:

  • Resumes

  • Outreach activity

  • Status

  • Experience and interview notes

Only the person who first contacted a candidate can see their contact information. This information is only shared if the candidate replies and shows interest.

How to view your projects

Follow these steps to find and manage your projects:

  1. Sign in to your Indeed Employer account.

  2. Go to the Smart Sourcing page.

  3. Click the Projects tab.

  4. Select a project.

Inside each project, you will see two groups of candidates:

  • Matched candidates: These are suggested by Indeed based on what you do in the project. You can save their resumes or reach out to them.

  • All candidates: These are the people you have contacted. You can filter them by status, such as "Awaiting response" or "Interviewed."

How to invite a teammate to a project

  1. Sign in to your Indeed Employer account.

  2. Click or tap Smart Sourcing on the left.

  3. Select the Projects tab.

  4. Find the project you want to share. You can either: 

    1. Click the three dots next to the project and select Share project, or 

    2. Open the project and click the Share Project button at the top right.

  5. Select the emails of the people you want to share with.

  6. Click or tap Share.

You can only share with people who are already on your Indeed account. Once you share a project, you cannot unshare it.

After you share a project, your teammates will get an email or notification.

  • If they have a Professional plan, they can click to start working with you.

  • If they have a Standard plan, they will be asked to upgrade before they can join.
