About the Company
We are a fast-growing consumer electronics manufacturing company with annual revenues exceeding ₹1,000 Crore. We are seeking an experienced and proactive Administration & Maintenance Head to oversee facility management, plant administration, maintenance operations, vendor management, statutory documentation, and infrastructure projects.
Key Responsibilities
Administration Management
Lead and manage all administrative functions across the manufacturing facility and corporate offices.
Ensure smooth day-to-day operations related to housekeeping, security, transportation, canteen, utilities, and facility services.
Develop and maintain administrative policies, procedures, and records.
Manage contracts and service agreements with vendors and service providers.
Ensure compliance with company policies and statutory requirements related to administration.
Maintenance Management
Oversee preventive, predictive, and breakdown maintenance activities for plant infrastructure and utilities.
Maintain complete maintenance documentation, records, SOPs, service reports, equipment history cards, and audit-ready files.
Ensure timely servicing and upkeep of utilities, equipment, office infrastructure, and common facilities.
Monitor maintenance KPIs and implement continuous improvement initiatives.
Coordinate with production and engineering teams to minimize downtime and improve operational efficiency.
Vendor Management & Commercial Negotiations
Negotiate rates, contracts, and service levels with maintenance and administrative vendors.
Manage Annual Maintenance Contracts (AMCs) and service agreements to ensure cost efficiency and service quality.
Identify and develop new vendors for maintenance, facility management, utilities, civil works, electrical works, HVAC, security, housekeeping, and related services.
Monitor vendor performance and ensure contractual compliance.
Projects & Infrastructure Development
Lead facility expansion, renovation, installation, and infrastructure improvement projects.
Coordinate new equipment installations, utility upgrades, office expansions, and plant improvement initiatives.
Manage project budgets, timelines, contractor coordination, and execution quality.
Ensure all project-related documentation and approvals are properly maintained.
Documentation & Compliance
Maintain complete documentation for maintenance, administration, contracts, statutory records, inspections, and audits.
Support internal and external audits related to facilities and maintenance functions.
Ensure compliance with safety, environmental, and regulatory requirements.
Desired Candidate Profile
Graduate/Diploma in Mechanical, Electrical, Civil Engineering, Facility Management, Industrial Engineering, or a related discipline.
Minimum 8–15 years of relevant experience in Administration, Facility Management, Plant Maintenance, Infrastructure Management, or Manufacturing Operations.
Proven experience in managing administration and maintenance functions for a manufacturing plant, industrial unit, warehouse, or large corporate facility.
Strong exposure to preventive, predictive, and breakdown maintenance systems, including maintenance planning and documentation.
Experience in handling utilities such as electrical systems, DG sets, compressors, HVAC, firefighting systems, water treatment systems, and general plant infrastructure.
Demonstrated expertise in vendor management, contract negotiations, AMC management, and cost optimization initiatives.
Experience in managing security, housekeeping, transport, canteen, facility services, and other administrative functions.
Strong knowledge of statutory compliance, safety requirements, audit documentation, and facility-related regulatory matters.
Experience in planning and executing infrastructure projects, renovations, utility installations, office expansions, and facility upgrades.
Ability to prepare budgets, monitor expenses, and control maintenance and administration costs.
Excellent documentation and record-keeping skills with the ability to maintain audit-ready systems and reports.
Strong leadership capabilities with experience managing teams, contractors, and external service providers.
Proficiency in ERP systems, Microsoft Excel, maintenance software, and reporting tools.
Experience in consumer electronics, appliances, FMCG, engineering, automotive, or similar manufacturing industries will be preferred.
Preferred Candidate
Has independently managed administration and maintenance functions for a plant employing 200+ personnel.
Has successfully negotiated and managed multiple AMCs and service contracts resulting in measurable cost savings and service improvements.
Has led facility expansion, plant setup, utility installation, or major infrastructure projects.
Demonstrates a strong ownership mindset, commercial acumen, and the ability to handle multiple priorities with minimal supervision.
