Senior Medical Coordinator

About the Role

We are looking for an experienced, detail-oriented, and compassionate Senior Medical Coordinator to manage the complete patient coordination journey—from admission through discharge. The ideal candidate should have extensive experience working in hospitals, handling medical documentation, coordinating between clinical and administrative teams, managing billing and insurance processes, and ensuring a seamless patient experience.

This role requires someone who understands hospital workflows, can communicate effectively with doctors and patients, and can independently manage complex cases while maintaining high standards of documentation and compliance.

Key Responsibilities

Patient Coordination

* Act as the primary point of contact for patients and their families throughout their treatment journey.

* Coordinate appointments, investigations, admissions, procedures, and follow-up consultations.

* Ensure smooth communication between patients, consultants, nursing staff, and hospital departments.

* Maintain regular updates with patients regarding treatment schedules and progress.

Hospital Coordination

* Liaise with consultants, nursing teams, operation theatres, radiology, pathology, pharmacy, laboratory, and other hospital departments.

* Coordinate bed availability, admissions, procedures, and discharge planning.

* Resolve operational issues quickly to ensure uninterrupted patient care.

Medical Documentation

* Prepare and maintain complete patient files and medical records.

* Collect, verify, and organize diagnostic reports, prescriptions, discharge summaries, operative notes, pathology reports, imaging reports, and treatment records.

* Ensure documentation is complete, accurate, and compliant with hospital standards.

Billing & Financial Coordination

* Coordinate with billing departments for estimates, advance payments, interim bills, and final settlements.

* Verify billing accuracy before discharge.

* Assist patients in understanding billing components and payment processes.

* Coordinate with finance teams regarding outstanding payments.

Insurance & TPA Coordination

* Handle cashless approvals and reimbursement documentation.

* Coordinate with insurance companies and TPAs.

* Ensure timely submission of required documents.

* Follow up on approvals and claim-related documentation.

Admission & Discharge Management

* Coordinate complete admission and discharge processes.

* Ensure all investigations, medications, discharge summaries, prescriptions, billing, and documentation are completed before discharge.

* Minimize discharge delays through proactive coordination.

International & Medical Tourism Patients (Preferred)

* Support international patients with documentation and treatment coordination.

* Coordinate travel schedules, accommodation, hospital appointments, and local logistics.

* Provide a premium patient experience throughout their stay.

Coordination with Doctors

* Schedule multidisciplinary consultations.

* Ensure timely availability of investigation reports before consultations.

* Coordinate treatment plans and communicate updates to patients.

* Maintain confidentiality of all medical information.

Operational Excellence

* Develop and improve patient coordination SOPs.

* Track patient progress and ensure timely follow-ups.

* Identify operational bottlenecks and implement process improvements.

* Maintain high patient satisfaction standards.

Required Qualifications

* Bachelor’s degree in Healthcare Administration, Hospital Administration, Nursing, Life Sciences, or a related field.

* Master’s degree (MHA/MBA Hospital Administration) is preferred.

* 5–10+ years of experience in hospital operations or patient coordination.

* Prior experience in oncology, multispecialty hospitals, or international patient services will be an advantage.

Required Skills

* Strong knowledge of hospital workflows and clinical operations.

* Experience handling medical documentation and patient records.

* Thorough understanding of hospital billing and discharge processes.

* Familiarity with insurance and TPA procedures.

* Excellent interpersonal and communication skills.

* Ability to coordinate across multiple departments.
