Responsibilities
- Respond promptly and professionally to customer inquiries via multi-line phone systems, email, and live chat.
- Assist customers with account management, product information, billing issues, and technical support using tools like QuickBooks and Microsoft Office.
- Manage front desk operations, including greeting visitors, handling phone etiquette, and maintaining a welcoming office environment.
- Perform data entry, filing, and document proofreading to ensure accuracy and organization of customer records.
- Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings.
- Maintain excellent organizational skills by managing multiple tasks efficiently while prioritizing urgent requests.
- Collaborate with team members to improve customer service processes and contribute to a positive office atmosphere.
Requirements
- Proven experience in office management, clerical work, or customer service roles with at least some office or administrative experience.
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and basic data entry skills.
- Excellent phone etiquette and organizational skills with the ability to handle multi-line phone systems confidently.
- Bilingual abilities are highly desirable to serve diverse customer needs effectively.
- Experience with QuickBooks or bookkeeping is a plus for handling billing inquiries accurately.
- Prior experience as a dental or medical receptionist or personal assistant is advantageous but not required.
- Ability to multitask efficiently while maintaining attention to detail; typing speed and accuracy are important.
- Knowledge of office equipment such as fax machines, printers, and filing systems will support daily operations.
