We're a growing Web, App, and Digital Marketing Agency helping businesses thrive through effective websites and marketing solutions. As we scale, we need a reliable, organized, and proactive Virtual Assistant & Project Coordinator to keep our day-to-day operations running smoothly and our client projects moving on schedule.

This role suits someone who thrives in a fast-paced digital environment, communicates with polish and professionalism, and can juggle multiple priorities without dropping the ball. You won't just be checking boxes, you'll be the person who notices when something's about to slip and gets it back on track before anyone has to ask.

Key Responsibilities:

Project Coordination

• Support day-to-day management of web development and digital marketing projects
• Coordinate with developers, designers, digital marketers, content writers, and other team members
• Assign tasks, track progress, and follow up with team members to ensure deadlines are met
• Maintain project boards, task lists, documents, and internal records
• Identify delays, pending tasks, or communication gaps and proactively follow up
• Perform basic quality checks before deliverables are shared with clients
• Prepare and share weekly work schedules with the team leader

Client Communication & Business Development

• Assist with client updates, follow-ups, and meeting coordination
• Set up meetings and appointments, and manage calendars efficiently
• Respond to customer inquiries and follow up to convert prospects into clients
• Represent the company professionally in all client interactions
• Assist with lead management, CRM updates, and prospect follow-ups

Documentation & Research

• Prepare quotations, proposals, and client documentation
• Prepare project briefs, meeting notes, reports, and other documentation
• Conduct internet research and gather information for client requirements
• Research specific products, services, or market trends as requested
• Compile and organize data in Word, Excel, Google Docs, and CRM systems
• Assist in preparing marketing presentations, brochures, and promotional materials

Administrative Support

• Manage emails and general administrative tasks
• Organize files, documents, credentials, and project-related resources
• Support the founder and project team with other operational tasks as needed

What We're Looking For:

• Excellent written and verbal English communication skills
• Strong organizational and time-management skills
• Strong internet research and information-gathering ability
• Ability to manage multiple projects and priorities simultaneously
• Proactive attitude and willingness to take ownership
• Strong attention to detail and ability to follow instructions
• Comfortable communicating with clients and remote team members
• Basic understanding of website development and digital marketing processes
• Ability to track deadlines and consistently follow up with team members
• Comfortable learning and adapting to new software and online tools
• Basic to advanced proficiency in Word, Excel, PowerPoint, and Google Docs

Nice to Have:

• Experience with WordPress and Shopify
• SEO and digital marketing knowledge
• Social media marketing experience
• Meta Ads and Google Ads familiarity
• Project management tools (ClickUp, Asana, Trello, or similar)
• Google Drive / Google Docs proficiency
• Slack or other team communication platforms
• CRM and lead management tools
• AI tools such as ChatGPT, Claude, or Gemini

Who Thrives in This Role:

You're comfortable working independently, asking questions when needed, and taking ownership of your work from start to finish.

Prior experience with a Web Development, Digital Marketing, IT, or Creative Agency is a strong plus.

We're looking for someone interested in a long-term working relationship and growing with our agency.

Pay: ₹8,000.00 - ₹20,000.00 per month
